Ok, don't shoot me, I am just raising questions....

I think that a committee should be formed with enough people to get the job done, but not too many that a decision can't be made.

I think that there are some questions to be asked. Some financial, what can you or can't you do to collect fees for the event. Does it matter what state you meet in for that.

If you have vendor booths, what happens if you decide to have it in an area with unions (some areas you are not even allowed to lift a table with out paying the union).

What about potty area requirements, fire marshall, etc..... Do you have to have a permit to have the meeting in that area?

Now, I think any good hotel or meeting place could help answer some of the questions, but, if we are serious about doing this we need to ask.
